Transcript for "Hotdocs i2 Release Webinar: Modernizing the Interview Experience": thank you very much, everybody, for attending this webinar. I'm gonna talk today about the HotDocs new interview two. You might be wondering why we have a new interview two. So after we just gone over the agenda, that's where I'll be heading to, Nick, giving you the story about why we built this new interview. We'll cover what's new in the new interview, followed by a nice deep demo where I'll be showing all the features and how you can test and adopt the the new interview. We'll cover a bit more about adopting at your own pace and cover a little bit about what's coming next. So before we do that though, just, for those of you that have been working with HotDocs for quite a while, you may I think you probably are aware that we're we're now we are. We're part of Meteritech. And Meteritech is really quite an impressive company, especially in our legal legal products, in house law firm legal departments, law firms directly. Two and a half thousand law firms use use our products. We've got 65 of Fortune 100, and 70% of the AmLaw 200 use and partner with Mitek. We have lots of awards, best business partner, on the right hand side there. And really, I have to say that HotDocs now being part of Meteritech means we've really accelerated in recent months and over the last year or two. And hopefully, you'll see some of that today. So what is the story behind interview two? It's it's really an it's not just about the new features we've added today or the new look and feel. It really is a new foundation built to support a new generation of new capabilities. Now, actually, we we it's not just about artificial intelligence. It's about being able to iterate and improve quickly in lots of other features, but it also does and will, well, will include AI capabilities. While we built the new, interview, we've also been cognizant that many of our customers are using HotDocs to engage their own clients, whether those clients are businesses or individuals. And there's been a higher and higher demand for HotDocs working on mobile devices. One use case would be, in a property firm, the way they're doing valuations and surveys of properties on-site. We've even have, customers who've been using hot dogs on ships remotely at sea. And so being able to use hot dogs interviews on mobile devices, even mobile phones, by the way, is one of the drivers for this. We are ready for artificial intelligence. So we already have customers using artificial intelligence to drive, pre populate interviews using our using APIs, of course. But we're we're the architecture of the new interview is enabling us to provide and work on new features where artificial intelligence can interact with the deterministic document assembly engine that HotDocs is providing data, but you still have approved clauses and structure to your documents. More of that later. So, essentially, I too, as we call it internally, interview two point o, is designed to adapt for your needs and how your organizations grow and evolve. So what's new in interview two? Well, first of all, it's not a complete change. We've kept the paradigm of an interview outline, but we've used modern components. And these modern components fit neatly on any device, And and I'll I'll show you later when you look at that in a responsive environment such as a mobile phone, and these are real screenshots from my phone of a not not a insignificantly sophisticated template. In this case, it's a will. And these for the I think for the first time properly, HotDocs interviews, even sophisticated interviews work quite well. So on the left hand screen there, you can see a dialogue. On the right hand side, you can see the interview outline. There's a seamless transition we've built in. So we we want to make it as simple as possible for you to move into one of the things that isn't new is the way that you integrate and the way that you develop templates. So all of the things, almost all of the things that you do today, there are some small things that we still got to catch up with. Your templates as they are today will work in the new form of interview, And you can update template by template and even test individually if you if you feel that's necessary. But we've worked very hard to make the transition to the new interview as smooth as possible, and that includes, by the way, the way that you integrate. Many of our customers, use integrations with HotDocs. And so they embed the HotDocs interview into their line of business application and third parties do and our own products too, like Team Connect and and and Tap and CaseCloud. And so these integrations will support the new interview as well. There are some behavioral and navigation improvements, especially as you see in a mobile device at the moment. And some of the idiosyncrasies or some of the scripting, elements have been corrected. I mean, these are really edge cases. Please don't worry about them. Now we're gonna move on to the demo in a moment, and we'll come back to this later, but we've got we're gonna start in Hot Docs author. How do you enable the new interview? How do you test the new interview from within author? How do you switch between interview versions? And this is interesting. Previously, you could wait, several weeks or months between new versions of HotDocs author or HotDocs advance. Now for the interview, we want to accelerate our rate of innovation the way we add features, and we've accelerated the way that we both deploy updates and you can access updates. Now for those of you who are on premise customers, rest assured, you will have control over when you switch over to any updates in the interview. And you can contact us. You can test new versions of the interview, contact us, and give us feedback, or not later. I'll be showing you how you can upload these new interview templates that target interview two point o. I'll be showing you how you can test these new interviews without impacting live user and production scenarios, and how you can invite test users to test the new interview. And these new features about testing changes to the interview, whether it's you've changed the template to use an I a new interview style, or whether it's some other change, these these features will allow you to test any change to a template before it actually goes live in your in your production environment. So before I go any further, well, actually, I'm now going to jump to the interview, and we're gonna start in HotDocs author. So this is HotDocs author. It's the for those of you who are HotDocs classic, it's the equivalent of HotDocs developer, and this is the equivalent of, in HotDocs classic, what we used to call a library window. The first thing which we do in HotDocs author to access iTune is we go to the options pane. And in the options pane, we can see that there's a new feature called enable interview to. Now when this feature is not enabled, there's no visibility of the new interview within HotDocs offer. When we disable it, and when we enable it, the interview two features become available. While we're here, I think there are other things you might be interested in. In a very soon, very soon, we'll be enabling full support for multiple choice variables. For those of you who are on classic, some of you said the the limitations of hot multiple choice variables and hot talks author have been a factor, that's that's made you a bit nervous. So this is a commitment to support multiple choice variables going forward in Hot Docs author as well as selection variables. I'd also like to draw your attention to this feature that automatically converts multiple choice variables at a click of a button into a selection variable, in case you didn't know about those two things. Additionally, when it comes to testing interviews, if you're interested in seeing our very latest releases, we have an option up here to allow testing with preview versions of interview two. Now this has no effect on anything in production, so you can use this to test very rapid iterations that we will be providing you with before they're made live. So what does this look like when we actually go to the authoring environment as opposed to the the the options? In this particular template, the estate planning simple will, which is a common demonstration template we use, If I go to the template properties and go to the interview behavior tab, you'll see that there's a new interviewer. Actually, it's not that new. It's been there for a while, but I'm going to show it in a bit more detail. We have three options, default, which at the moment is the old style interview, interview one, we call it now, interview one, and interview two. Now if I leave it as interview one or default, when I test the interview, so let's just bring bring bring that on screen, and I, unfortunately, I switched word off, which was a little bit silly. So we're just gonna edit this template for testing. So just hang in hang on there while word starts. So this is the the offering environment for those of you familiar with Hot Docs author. And in HotDocs author, of course, you can test the interview. And here we here we have the interview opening up. And you can see this is just a standard interview that you could see before. But because we've targeted interview one, this template will, by default, just render in the the existing interview style. But the drop down list has several other options. We have the production version of the new interview, which looks like this. Isn't it very smart and pretty? You can also access a preview version or even a nightly version. So we let we release for testing purposes. Every time every time the development team makes a commit, we update the nightly version, build so you can if you come to us with, hey. We need a new feature. We need this fixed or that changed. And if we think this is a good idea to do, we can apply that change during the daytime. It will be built at nighttime and deployed and made available within the author. And we hope this is going to make it much faster for as we start seeing things like AI features or other features with the interview, then it will make it much easier for our user base to test, give feedback on, and help us get the new features, right before we properly release them. While we're in the new interview, take a look at how this looks on a smaller device. Now I can't I can't demonstrate in a webinar exactly what this looks like, but everything's responsive. You can see that here. The interview outline is responsive. And unless you test this actually on a mobile device, because obviously the screen the the the keyboard comes up from the bottom of the screen, default, date pickers and various other options appear. But the the new interview works very well on mobile devices. So if I go back to those template properties, and they're off screen sorry. It went off screen. And go back to the interview behavior. If I target interview two, this time when I test the interview, it will load automatically in the new interview style. There we go. So remember, you can set the default interview style for any template at a template by template level. This means, as we'll talk later, there's no there doesn't need to be a big bang change. You can go template by template. We are confident that the behavior of the interview is will match anything you've been doing and behave be exactly the same as what you do in in interview one, subjects and some caveats, which I'll get to later. And, we we're comp every time I've tested a template, I've taken a look at a template, I've been very pleased that the the the complex logic and the scripting is all adhered to, and everything's great. Obviously, we've got answers, and this has been redesigned as well. And we can we can preview the document as you can in any previous version of the the interview as well. So what happens when we want to take this into a production environment? So one of the things or into into HotDocs, advance in the cloud. I'm gonna bring on another screen. So this, I'm sure many of you would be familiar with with HotDocs advance. This is a, an unreleased version, but it's broadly the same. When you upload a template into HotDocs advance, then you'll you'll most of you who use Hot Docs Advanced will be where you have this page where you can view all the templates. And if I concentrate on the simple will, we can see that, I've been uploading different versions of it. And the current version targets interview one point zero. So that's the the legacy of existing standard version of in the interview. Some of you may know about, but just in case that we have a setting in hot in in HotDocs advance, approval required, and this is accessed by system administrators. And it tells HotDocs advance that whenever a new template version is uploaded, don't make it live immediately. Just put it there until we're ready to make sure we we know it's ready to go live. What you may not be, familiar with that, about a few months ago, we added a new feature to, managing work groups, when we create a new work group. So I'm just gonna go to manage work groups. When I create a new work group, one of the options is to, create a test work group. Please ignore this multi template work items thing. You don't have this at the moment. We'll have another webinar on multi template work items. But if I were to enable a test work group, which I have done up here, this is a special kind of test work group that allows you to test templates before they go live, and we have one here. So if I go to an ordinary work group, so it's got test. This is a test work group. So it says here very clearly that this is, for templates that are on development or not for production use. We can go to the, let's go to the private client and wealth management. If we go to this work group, this is not a test work group. If I create a new work item, interview test one point zero, and I'm going to I should, yeah, I should be more imaginative with what I call this work. If I launch this interview, then what we what we'll see is the leg the existing interview one. But what if I want to test or I want some users to tell me what they think of the new interview without disrupting my production environment, what I can do from Hot Docs author is I can switch my template to use, interview two, which I have done already. I can upload that to my new environment. Also, I've got the the template open. Let's just close the template for editing. I'll upload that to the the interview, and I'll just call this interview two point o. Obviously, HotDocs author doesn't like it when I try to upload a template, which I'm in the middle of editing. So I'll upload that to the the new interview and so to HotDocs advance, and there it is. So there's the simple wheel that's just been uploaded. Note now that we have interview one point zero, which is the live version of the template, live from an hour ago. And here, this is the new version, which hasn't been made live. Now when I if I create that if I go back to this well, I'll abandon this this this particular interview. But if I were to, if I were to open the interview or create a new work item in this standard work group, remember this is the private and client, it will still be the the old interview. There we go. So there's the old interview because that's the live version. But if I go to the test work group, so here's the test work group, and I try the same thing, and I yeah. This this will be interview new version, and I choose the same template and now launch the interview, it renders in the new version. So this means you can have groups of users. And by the way, you can and and work items, you can add to the test work group any users you want. So I have a test work group, manage manage user groups. And here is a test user group that I've created as administrator. When I add them to the test work work group, I can I can invite some users to test the changes I've made to a template? In this case, it's it's to make it, an interview two point zero template. But the same feature can be used to invite user to test any template. So previously, you could only you had to do all your testing either in a separate instance of HotDocs advance or in author. But now you can create a test work group, make changes to your template, whether it's two point naught or something else, invite users to test that template. They can give you feedback. You can make changes. Nothing affects your production users. And then when you're ready, you can make your the latest version of your template. So let's imagine we've done that. We've tested the new interview. We're gonna go in here, and we're gonna make that live. And now when we go back to the the work group, which is for the private this is the production work group, and I use exactly the same template because I've made the new version of the template live. Two point not. I'll just put live on the end. When I when I launch this interview, it's now live, and it's all all the nice new interview. So much easier, to safely test with real users, not just in author, new template versions, whether they're new interview versions or whether there are other changes you're making to the template at the same time. I'm just gonna go back to my the this because I I'm making sure that we've invited new users to preview. I don't think I've demonstrated that, but just in case you're unfamiliar with it, let's just bring the the interview back on screen. Excuse me. I just got the wrong window. So that you're so that you can be reminded when I'm just gonna save and exit this particular interview. When you you can create users and manage users, manage user groups. So I created a test user group, and I've added my Gmail account to it. And just to demonstrate, this is a standard user account, and you can see that as a standard user, I've got access to this test work group. And so you can manage users, you know, real users to come and test your templates before you make them live. Incidentally, in a future webinar, I'll be showing you this new user interface, which is also, as you can see, highly responsive. And that's for a future webinar, so, look out for that with multi template work items where you can add and remove multiple templates to a work item and share data. So I'm going back to the slides now. So just to recap, you can go into options in Hot Docs author to enable access to the new interview. You can test inside author. Remember, you can even switch on the option to see preview versions of the the interview so that you can test changes before we would contact you, and you can say, hey. Look. We've made this update for you. Would you like to test it before we make it live? And you can say, yes. That does exactly what we want, or you can give us other feedback, and we can go back and change it a bit differently. You can switch between interview versions or with an author. You can upload and configure, your template to target in the new interview two point o. You can test without impacting live users. You can invite specific groups of users to preview your template before you make it live. In fact, you can get them to validate into any template changes you like. And importantly, if you've got integrations, the test work groups also work with with any integrations you have. So, one of the things I mentioned earlier on, well, and I haven't demonstrated it, but there's a feature in HotDocs Advanced called client interviews, and we also have public interviews. And these are features which allow you to, the these are these are features which allow you to to engage out outside users, whether they're prospects or businesses you work with or clients that you work with. With HotDocs Classic in document services, we had a similar feature called client interviews. And there should be a poll available on screen, to the right hand side where you can ask questions, respond to a poll. And I'd like to know whether you already use HotDocs interviews to engage external users, clients, and prospects, or whether you're interested or whether you're not interested. And we can we can cover that if you'd like to answer that, Paul. Thank you very much. Right. Okay. I'm not sure if I can yeah. I can see the poll, and I'll just wait for you. Give you a few seconds to answer that, and then we'll move on. Okay. I have to say it's the first time I've used this tool. I'm not quite sure, Adam, if you're listening. Are we are we ready to move on? Yeah. We're ready to move on, Nigel. We have a lot of great. responses coming in, and we appreciate it. Excellent demo. too. Thank you. Right. So that's very interesting for us. So adopting at your own pace. As you saw just now, we we you can adopt it. You can sorry. You can adopt your own pace template by template. There's no big bang switch over. At some point in the future, and, you know, don't worry. It's a it's a long way off. We will make the default become interview two point o, but we will be making sure that everybody's comfortable. Updates land fast, so we want to iterate quickly. So we've we've decoupled, the updates to the rest of HotDocs advanced to updates to the interview so that we can deliver enhancements quickly. Now this, at the moment, is only gonna be a quick update to cloud, but we also want to help on premise customers. Importantly, on premise customers will remain in control of which version of the interview they're using, so please don't worry there. We've taken a great deal of effort to make sure that when you're embedding the interview into some other product, or other workflow, including our own sibling products here at Meetra Tech, we've worked very hard that you don't need to change a thing. So if you're if you're integrating, if you're a partner, please don't worry about the the changes that might be required to an integration. Just to be clear, we have had a little bit of feedback, that we're working on theming, which I'll get to in the moment, in terms of sometimes the interview the new interview doesn't fit fit as well, but we're we're gonna be working on theme. We're already working on theming, so that's coming next. So do tell us what you need. You you've got my email address, at the beginning of the slide deck. We also have the we we monitor and do look at and and and so on Any features or feature requests that you submit through the the advanced user interface, if you go to the drop down menu within HotDocs Advanced, I'll just bring it back on to remind you. If you can, you can suggest a feature by clicking on this link. And we we will we do. We look at them. We get lots. By the way, we get, quite a few, dozens all the time, every day, I think. We're not quite yeah. Not dozens every day, but we do get a lot. So do tell us to do engage us. So what's coming next? Well, one of the things we're working on now, in fact, a pharmacist, is an ARIES interview autofill. And I am gonna show you a little, previous. Quite it's not it's not a working demo, but it's an interactive demo. And this is in in development just now. So this is interview two point naught. It's an estate, planning type thing, a will. But imagine I've got an email or a document that I could use, then one of the things we want to be able to do is allow users to upload documents. So they might they might click a button here, and I'll just take that off screen, because I can't remember what it's gonna show. And I'll go to a there's a a previous will that I might upload. So I've got a previous version of a will. The data for this will is in that document somewhere. And when it analyzes that document, then we might or we might we might expect let's just click on that button. We might expect the AI to read the document, read the questions in the interview, and fill the answers out, and it identifies which fields in the interview have been filled in by the artificial intelligence, greatly accelerating, and actually probably improving the accuracy with which these interviews are being filled in. So you get the combination of using AI to find the data in in unstructured documents or unstructured datasets and then feed it into an assembly engine, which means you're gonna get a highly structured determinics, every clause has been has been vetted document. Some of our customers, when we showed them, is saying this is gonna be transformational. It's just one of the things we're working on. It's probably about time we had a new AI webinar because there's been lots of developments since the last one. Right. Interview internationalization and localization. One of the gaps I said there were some caveats at the moment is, we have customers that work globally, and they have interviews that, can be filled in in Dutch, German, and several many other languages. We've got literally on every continent and some customers working across literally dozens of countries. Now you can even today, you can we can obviously write a prompt in a HotDocs interview or dialogue and or variable in any language, but some of the language fixed language, like the words next, the words finished over an interview are in English. And in in the legacy version I one of interview, these can be translated automatically into French, German, Spanish, Dutch, and a few other languages. And we can also handle date formats and other things, so, without too much effort. So one of the one of the gaps we're filling in pretty much immediately is internationalization, localization for the the interview. We're also working on theming. So we're aware that some of our customers have modified the theming of the existing, modified styles. So we're working on ways to enable customers to safely, modify the styling of the interview. For those of you who have integrated the legacy interview into products, there have been some, it can be quite tricky to get things to look look right, and we're gonna address all those. But if you have any other ideas, please let us know. Now just a reminder, you you have HotDocs author available from within HotDocs cloud advanced. You can download it from the drop down menu in the right hand side as shown in the screenshot. Just a reminder. Now I this new interview style isn't available yet, and somebody's already asked about that for on premise, but it will be available soon, in on premise versions of HotDocs advance. And I see I mean, weeks, not months. Please continue engaging us. We have the client idea portal, which, as I mentioned, can be accessed through the advanced interface. The drop down list at the right hand side has a has a suggest a feature option. It will take you to the client IDEA client portal. You have dedicated account managers, who please use them. They are now we've got some fantastic account managers, and they engage me directly, engage other people within the business, and and will escalate on your behalf. We have client working groups. We're probably it's about time we we had another one actually and got that running again. But please let us know if you're interested in helping guide us on these. I quite often engage I gauge many of you anyway. You can you can have one to one or you can join a group of people. And we have user conferences, which, Adam's gonna tell you about one in a moment. And we've run strategic business reviews. These are typically on an annual basis, but they can be more frequent than that. And so if you have, we we want to understand the direction your businesses are going in general or what problems you want to solve, not just about document automation, about all kinds of things. So please engage us. And, actually, this is something I really need to ask you. It would be fantastic if, some of you could leave us a g two review. There's a QR code on screen now. Get your phones out. I'm sure we can distribute the link. If you don't know what it is already after this, please do leave a review. It is important for us, to to understand, to make sure we get the message out. And I'm about to hand over to Adam, who is gonna tell us more about an event called Interact. You got it, Nigel, and this one is exciting. To all the professionals out there leading legal and risk teams, come to Interact twenty twenty six and bring your entire teams for the peer networking, the education, the future roadmap planning. We're looking for even more partners to join us in Arizona showing off their expertise to our awesome customer base. We wanna partner with you to build a roadmap that's gonna benefit your business. We wanna see you at Interact twenty twenty six. We'll see you in Arizona. See you there. I mean, I I really don't know what's more exciting than that. Yes. It's a ton of fun, but the amount of thought capital and learning, that you get from attending Interact in Phoenix this year is just second to none. And your, your feedback is so important to us, and that's one of the best places to, to be hands on with us and and let us know what you think about things. So Interact is coming in Phoenix this October. Make sure you scan that QR code. And, it's been a great presentation so far. And, Nigel, you've inspired so many questions. And I wanted to know how how do you feel about jumping into a few questions? I can give you one right off the bat here. I too is is not coming to Classic. Is that right? Yeah. So this is, an advanced item only. So we, it is if you're on Hot Docs Classic and wanna take advantage of the new interview interview and any other feature I showed you, it it will have to be on Hot Docs advance. Yeah, I should have mentioned that earlier on. Yeah. Somebody else is asking, for on premise. Yes. I think I mentioned that, but, it will be available on premise soon, and there will be a way to update the interview, as new version of the interview come out. Shailene, I see that you've already tried, interview two. Now if you do spot something that is that's not right, please there's two things you do. You should make sure in the options that you can get the preview version, because it could be that you've got an old version of author. Now do that, and we update frequently. Otherwise, you if you do spot anything or indeed any errors, please do contact me directly. I'd I'd encourage that. So, that's that's something to do. There are some the the main thing is a responsiveness, but there are for those of you who've been using interview one point not, sometimes when you're doing something complex, say, for example, you're you've got a table variable that's on a repeated dialogue and using scripts to manipulate it, there are idiosyncrasies which we fixed. Now these won't affect most templates, but we've tied it up and made the the engine that runs interview more predictable and more importantly, more testable so that we can iterate faster. And so that is one of the major changes. There are so at the moment, I think it's fair to say that the interview two is we're aiming for for more predictable parity rather than new features apart from the responsiveness. But going forwards, it's where the new features come in. So we haven't had proper theming in one point zero. But there will be theming. The internationalization, although you do have that, we're gonna make that more, so that you can create your own customizations one day. We want to enable the the AI feature, which could only be done on the new interview, we believe, or at least it'll be done much quicker. And so there are a whole host of enhancements. We've got ideas for allowing interviews to, for enabling reviews in the interview. So you saw the AI review earlier on where but you might have somebody else filling the interview. It might be useful to know who are who filled that field, who changed that field, those kinds of ideas. So the there's no gap at the moment between client and public interviews. Just let me check. I'll read the whole of that question. In fact, I would say that the responsiveness of the client and public interviews is is ahead of where we're at at the moment on the internal work item view of the of not of the work item. So there there's no gap that I can think of in client and public interviews. Interview two is available now. Right? So if you're in the cloud, it's available today. There is no added cost, though I wish this probably the sales team might have thought there should be, but there isn't. There's, we this is no added extra cost to use the new interview. And, yeah. So so I don't have more questions. So, there's other things apart from AI. So things that we can we can there's more than AI, of course. We're considering well, the theming I've mentioned, enhance, making it easier to to localize for different regions. We we with some evidence that we want to improve the way that multiple users can engage the interviews. In other words, if somebody else has updated the interview, I want to know who and when it was done, like an audit trail. There are there are some re reporting things we want to work on as well. But this you are the the question is, what else will there be? That depends on you. That depends on everybody who uses HotDocs. We have our own ideas, and we listen to them all the time. But the moment, it's internationalization. It's the AI feature, and it's likely to be some kind of review process in the interview. But be vocal. Use the client portal to submit your ideas and speak to us, and we'll work together to on that prioritization. Is there any more question? Yeah. So, accessibility. So the there are to be honest, we we've worked hard on it. There are some there are some enhancements, around keyboard navigation, which have come up, but we we are we there there is a gap, but we're working on that at the moment because it is it it is pretty much, compliant, but we do know of a gap that it got through by accident. So with the answer to that question, yes, compliant. There's so there's another question. The client shut down for a second. Is there an estimated cost difference between client interviews and you? No. There's no added cost. Michael does, this this it's it's just a product enhancement. Somebody's asking about Ares AI auto fill more on that later. So there we I can't promise at the moment, AI can escalate in terms of the, the, the cost, but what we are allowing, Donald, is we will allow you to use your own AI. So there's nothing that needs our AI. We're planning on allowing our customers to use their own AI to fill hot dogs interviews. So in that respect, we might offset some of the cost of the customer providing the AI. So I can't I can't promise at this stage it's going to be completely free. As we know, lots are being spent and AI isn't free, but more on that later. But we will allow you to use your own AI and connect into hot dogs. Incidentally, on AI, there's lots of new things coming that are really rapidly developing developing, like the ability to interact with with hot dogs from your AI tool of choice. The we've we've got some fairly reliable, AIs now that are actually generating HotDocs interviews from prompts and documents. So if you want it to be accelerated in your your development of templates, we we are working hard on that, and it's working way better than I expected it to. Right. There's lots and lots of questions coming in. Right. I tell you what, there's quite a few questions. We're running close to forty five minutes. I'll I'll answer any other questions that come in. We've got them all logged here. I just want to thank you all for your, you know, for attending. We found it was quite a high attend yeah. Very high attendance. And so thank you again for attending.
